SharePoint is a business collaboration platform developed by Microsoft. It enables employees, project teams and businesses to effectively create and manage collaborative intranet websites to facilitate the sharing of information (Microsoft). The Georgia State University (GSU), CIS capstone project team has been assigned to the Georgia-Pacific, LLC (GP) department of Enterprise Systems & Services, the site owner of the myIT SharePoint site, which is the focus of the CIS capstone project.
The myIT SharePoint site according to GP is the center of information sharing and collaboration for its IT employees. In addition, the site provides enterprise wide IT content and knowledge sharing on a wide variety of IT topics. However, the site has become dated and ineffective in enabling end users to find timely and relevant business content.
To validate the points raised by GP and effectively develop a solution for the myIT site the GSU project team conducted a series of end user interviews to determine the current state of the site. The results of these interviews showed that the myIT actually hampered collaboration among end users. The lack of organization of the site’s content and navigation methods made SharePoint’s search capabilities less effective. Moreover, end users wanted the myIT site to facilitate a sense of community within the IT division and champion their achievements within GP.
To address the issues raised by end users and the expectations of the myIT site administrators the GSU project team recommends that the myIT site be redesigned.
