For any type of organization, communication between every department is crucial to achieve the goals it is pursuing. Effective and accurate information is essential for any organization in order to create a cultural bond among its members, operate efficiently, measure results, and develop a strong strategy. In addition, it is beneficial for an organization to develop and promote an effortless flow of communication between all its different levels. Unethical dealings in the workplace are always wrong. It is crucial to promote ethical behavior. Everyone must understand that once caught, unethical behavior is not just a problem for those directly involved, it is everyone’s problem.
This paper provides my analysis of an oral presentation using the transactional model of communication. This model is most appropriate to my analysis, as this presentation seeks understanding and agreement of a mid-level management group. The goal of the transaction is to gain buy-in and support of a training program from mid-level managers. My role is to prepare and verbally present information to a small group of managers. My analysis focuses on the systems perspective of the three expanding spheres of the model to reach the goal- integral, strategic and tactical. My analysis is not a detail of all the elements of the spheres. It explains some of my thoughts, in preparing for the transaction, and approaches, which were important to reaching agreement. In my conclusion, I offer why I believe this transaction is, and how one can measure, that success.
Communication is an essential component for effective leadership and management. Without it, the organization will struggle carry out their mission. Simply communicating is not enough. Effective communication hinges on the clarity of the message. As Popovic and Hocenski (2009) stated, a “Leader must be able to communicate clearly to others in a language that they can understand on all levels in an organization, from the most unskilled worker through to the Chief Executive” (pp. 15-16). There are a lot of elements that can affect one’s ability to accomplish that. A small, but distinctly important, few are discussed in the following paragraphs.
Looking at IKEA’s organisational structure, the chain of command shows a clear line for messages within functional departments, so therefore; it leads to good communication. For example, looking at the organisational structure of IKEA, there is a clear communication within a human resources department. However, the chain of command is very long from the top to the bottom of the organisation because, there are too many levels of management. This will lead to poor communication. For example, it takes decisions a long time to reach the workers at the bottom of the organisation structure.
Strategic communication is an integral part of every business environment and workplace. Businesses without good communication tend to have difficulty in management and not do as well as businesses with high-quality communication. Internal communication within a business in which employees create relationships with another and share valuable information is recognized as the foundation of modern organizations (Men and Stacks, 2014). In business, employees and managers participate in three types of formal communication to relay information: downward, upward, and horizontal communication.
When working at Borders Books as an assistant manager I experienced a lot of downward communication. The president, vice president, top-level managers, etc. would communicate a decision to my general manager. My general manager would then communicate that decision to the assistant managers, which I am one of. Our job would be to install this communicated decision to all of the employees. If the decision was communicated well, this form of communication worked well, if not it did not.
Communication is defined as “the transfer and understanding of meaning” (Robbins & Judge, 2013) and is the foundation of every relationship. There are four main reasons for communication in business. They are to control, motivation, emotional expression and information (Robbins & Judge, 2013). Without effective communication the sharing of ideas, information, feelings and questions cannot be completed. There is a process to communication and when the process is broken communication is not effective. In business it is a manager’s responsibility to understand the process of communication, the functions of the communications and to minimize any barriers to communication so that there is effective communication.
This paper recommends further research into effective communication should be performed as there is infinite information as to what effective communication entails. Further research should be conducted to (a) provide managers with key information to be an effective communicator, and (b) give effective managers a more well-rounded approach to communication.
