In The Rhetorical Situation, Lloyd F. Bitzer argues that what makes a situation rhetorical is similar to that which constitutes a moral action as he writes that, “an act is moral because it is an act performed in a situation of a certain kind; similarly, a work is rhetorical because it is a response to a situation of a certain kind”.(3) By defining the rhetorical situation in this way, Bitzer further contends that rhetoric is a means to altering reality. (4) It is through the use of discourse that one is capable of changing reality through thought and action. (4) Bitzer then elaborates upon the nature of a rhetorical situation by explaining that rhetorical discourse enters a situation when: providing a response to its state of affairs; rhetorical discourse is given significant presence by the situation; the situation exists as a necessary condition for rhetorical discourse to have effect; a rhetorical situation or event may mature or decay over time; the rhetorical situation invites the use of discourse to alter its reality; the rhetorical response given to the situation is appropriate; and the situation controls the response of the discourse. While Bitzer notes that these are parameters for a situation to qualify as being rhetorical, he further discusses three constituents that are present in any rhetorical situation prior to the presence and manipulation of discourse. (6) Exigence, audience, and constraints are seen to be necessary elements in a rhetorical situation for Bitzer. A few of the common conventions are capitalization, paragraphing of ideas, punctuation and proper spelling. However, the English language can be exceptionally difficult for ELL’s when it comes to the mechanics of spelling, due to the fact that it is made up of like sounding words known as a Homonym. The perfect example of a homonym is to, too, and two. Each of these three words differs from each other, but can cause great confusion when it comes to speech. So not only is tackling tricky words a tough skill to learn, ELL students also need to maintain focus on correct punctuation and writing techniques. In the written assignment of a Vietnamese ELL student, the student states “My mother’s name is ____.” This sentence demonstrated a phenomenal use of English mechanics by adding an apostrophe in order to show possession. Also, the sentence began and ended with correct written mechanics. The grading scale of mechanic on a rubric can range from insufficient in the result of little technical formatting; to excellent, being that there was an effective use of spelling, capitalization, punctuations,
Email provides an alternative to the traditional face-to-face or telephone communication that is necessary in business. With the increased productivity and demands that accompany day-to-day operations, people are always looking for ways to do more in less time. A written message sent via email can be short concise and to the point, eliminating some of the small talk that would normally take place in a face-to-face or telephone interaction. Another advantage of email is that people are able to respond when it is convenient for them. In a society where time is of the essence, people are able to sort through messages and to prioritize which ones should be addressed first. Furthermore, some people prefer sending email messages instead of face-to-face interactions because they are more likely to be intimidated by face-to-face communication. Email gives those types of people the freedom and the opportunity to say exactly what is on their mind.

Online Communication is an effective way to communicate with professionals. An email between students and their professors is acceptable, it should be in a formal way so that the communication between them should not erase social boundaries. Professors and researchers attribute that students does not maintain healthy distance, they email their professors all unacceptable messages about asking all the readily available information. Although many students oppose that and request for giving some structure or format. Professors should enforce pedagogical intervention regarding students’ emails and explaining them the appropriate information to be used while writing emails. A student writing an email to a professor and asking questions about the assignments given, and any clarification about the chapter explained in class is truly acceptable.
As society and technology advances, formal letter writing is declining rapidly. During the 1800’s, writing formal letters was one of the most effective ways of getting in touch with family and friends that are miles away .You would simply write a letter and send it to your destination. The only problem with this is that people would get tired of waiting for their letter to arrive. Personal, formal writing has greatly decreased by two - three percent every year. New inventions like telephoning, text messaging, and email are the main technology gurus that are at fault for the major decline in formal letter writing. These are the new inventions that the populations have found for a more practical way of communication.
