An article in Executive Update stated “Policies, procedures, protocols and job descriptions create efficiency and eliminate some of the administrative stress” (Curd & Young, 2012). One of the ways efficiency reduces stress is by encouraging uniformity. Mustang currently lacks uniformity among the administrative assistants in field services. There are three separate groups that each have a small group of assistants assigned to them. All three groups have the same daily tasks; however, each group has different methods of completing the tasks and they all have different levels of output. Creating more uniform administrative procedures would increase productivity and effectiveness, yet some managers are opposed to changing the procedures for the assistants in their group and will require more research before making changes. This research will provide managers with information on how creating a more uniform work place can enhance efficiency and be more effective with the use of the company resources. This research will discuss the following: the current issues the administrators have in their daily process, the benefits of having uniform procedures, and how uniformity will create a more effective and efficient work place.
Current Admin Process
Currently, there are not any specific guidelines on how the administrative staff is to process daily tasks. The three groups in field services have the same responsibilities, which include signing up new employees, filing employee paperwork, submitting time and expenses in the system for field employees, keeping an up to date roster of employees and a job number listing, and invoice spreadsheets. In regards to decision making at Duplox, the vast majority of employees have limited autonomy in completing their work, more specifically the TSS’s. The TSS’s are required to receive permission from FSM’s regarding most of the incidents and issues within their work as a manager higher in the hierarchy must approve all decisions before any immediate action is able to take place. It is indicated that prior approval from a Field Service manager is required for many actions even if they are within the allotted budget limit, resulting in only a FSM to have authority to order parts. The lack of autonomy in the decisions and input from TSS’s in regards to the approval of actions is a prominent factor in the delay of the receiving of copier parts, resulting in TSSs to often have to visit the same client twice in a row. The majority of the managers do not encourage employees to perform better as many of them hold roles that are considered controlling supervisory, as they have decision authority over the TSS’s. Moreover, the company has placed great importance on open and honest communications with the employees on many levels. Even more, leadership expected a plan that would utilize all human assets in a way that would support the organization’s attitude in servicing customers and employees.

In the workplace, time management is an important factor in everyone’s day-to-day work. If a person’s time is well managed, it is possible to achieve a greater amount in a shorter space of time. How effectively people manage their time has a major influence on aspects of their working lives and their personal lives. Effective time management can have a hugely positive effect on a person, it can lead to a focused and disciplined mentality, giving a higher level of productivity, greater efficiency and an all round positive attitude in life. This benefits the individual, their team, the company they work for and also their friends and family. An example of this is an employee who prioritises their jobs at the start of the day; this gives them a structured day and ensures they have time to complete all of the important jobs. However, if time is poorly managed it can lead to inefficiencies, work overload and added pressure, this could eventually lead on to other issues such as stress.
