Although it takes place at the end of the project lifecycle, closing a project is an equally important step in managing a project. In the final phase, project manager has the opportunity to schedule a formal completion or de-commissioning meeting with the client, project team and Project Sponsor. “The purpose of the meeting is to review the final acceptance document and obtain final approval that the project is complete and objectives have been attained” (Mastering-projectmanagement.com, 2014). This phase also entails celebrating the success of the project, identifying and planning for any follow up activities, and reflecting on lessons learned to be applied to future projects. The activities other activities such as budget audits, gathering and storing all documentation, and creating a final report including a Lessons Learned document all take place in the closure phase of the project(Darnall & Preston, 2010). The six week long systems upgrade project at Royal Tires was a success. The client accepted the deliverables with pleasure and commended the project team for an on time completion with a surplus budget. After a few tested runs of the new system as indicated by the Work Breakdown Structure, I as project manager drafted a formal request for acceptance letter to the project sponsor and client indicating the project has been completed. After the letter was accepted, I presented project closure documentation to the client. The project contract manager then began collecting and reviewing all the contact documentation to ensure that all obligation had been fulfilled by both parties. Since the terms of the contract dictated that payment would be rendered upon delivery, a request for payment letter was sent to the client. Finally, after all the business aspects of the project closure had been completed, the team organized a n even to celebrate the success of the project. We also took this opportunity to acknowledge specific group and individual efforts that aided in the overall success of the project.
