PEP is moving forward with implementing a new IT system and improving its business processes. The IT Steering Committee (ITSC) wants to start by implementing a new customer billing and payment system. They have requested the services of and independent Business and IT Systems Analyst, Jenna Smith, to conduct perform an investigation. The goal is to identify whether the new system will interface with other new IT systems and updated business processes. The primary point of contact for PEP will be the Chief Information Officer, Mark Temple.

The existing system is not an intricate mix of hardware and software and will support change. Any foreseeable concerns will arise when transitioning data, generating correct reports and customer emails, implementing proper data security measures and testing. The vendor will have a major part in providing those features and services. Financially, transitioning to a cloud-based system is best for PEP. Maintenance costs are limited as support will be given by the vendor. The proposed system will be using a Microsoft platform and will utilize the existing Microsoft Access spreadsheet. The ease of data transferring will save on man hours that can be used in more productive ways. The most cost effective solution is being proposed because a budget has not yet been set. As mentioned before, personnel may not take to the new system as well as expected. Steps should be taken to determine how strong the resistance is likely to be and how management will encourage support (Jawahar, n.d.). From preliminary observance, it seems if the reaction will be favorable if the system will reduce the back log in the Finance Department and lessen the strain the other departments.
