1.1 There are two forms of junk mail, paper-based and electronic. With electronic junk mail you can direct it straight into your junk mail box if you cannot opt out of receiving them. This will just lead to deleting them. However it is a good idea to have a quick look through it as some could be useful to you personally or be useful to the business. Paper-based junk mail would be seen to by me and my administrator colleague. We will look through it and decide on its importance. If it could be relevant or useful to the business or our boss we will show him in case he wants it, if not we shred it. You are going to have to know what to do when you encounter them especially when your job includes working with mail such as myself. One of the main problems we face are delays. Even if we do use the correct postage we can never guarantee the time will be correct every time, this is down to the collection times being slightly different in the areas we live. We usually post any mail on our way home as we pass letter boxes, this is also so we do not waste time during the working day. Sometimes we will have missing deliveries. Sometimes a letter could get lost in the post, especially if the address has been written wrong or the writing cannot be read due to messy handwriting. Some ways to overcome this would be to send it by a recorded delivery, you could also include a message to state exactly where the post needs to be delivered to. One thing I haven’t encountered yet but I have to be aware of is suspicious mail. To overcome this we need to follow organisational procedures, if we think anything is remotely suspicious or could be dangerous I have to notify my boss straight away so he can decide what we need to do next.

So we work with envelopes and stamps. We judge by the amount of paper we need to fold to select the right size envelope. Then we select the correct stamp by the size of the envelope for example if it is a letter it will fit in a small envelope therefore it only needs a small stamp. If it has more than six pages we will put it in an A5 Envelope this will need a large stamp. When it comes to packages, you may need a padded envelope or a box depending on the shape and size of the material you are sending. If it is fragile you may need to use padding in the box, this will also fill space. You then need to use a good sticky tape to make sure it doesn’t open on its journey, then write the send to address and return address in case it cannot be delivered.
