4D Database System
In the company I work in the program we use was developed specifically for our company. In land development, there are a number of factors that need to be taken in consideration to keep track of lots and blocks within different subdivisions. As well as lots being bought and sold to companies and individuals. The database system we use is called Ginger, a custom database designed to achieve the following objectives for our company:
1. Replace our old database.
2. Combine date from the old database.
3. Improve usability of the database by improving performance and stability.
4. Make modifications to the design of the database that will enable it to adapt to the changing needs of our home sales office.
Ginger was created with the 4th Dimension Database platform that is a powerful relational database or the Macintosh; though we usually refer to the database system as simply 4D.
4D is used to enter, modify or delete records, search for records and sort lists of records, create and print reports, labels and graphs. In 4D you store information in tables. Ideally, each table stores a different type of information. For example, the Prospects table stores information about a specific prospect, the lots table stores information about each specific lot.
We use forms to enter and manage data. Each table in our database has an input form and an output form. An input form displays one record at a time. We use an inpu7t for to enter, view, and modify information in a single record. An output form displays several records as a list. We use an output form to browse through records, select and sort records, and print a selection of records.
Of the people that access this program are our architects, our new home sales office, and our corporate office. The 4D plat maps are created in AutoCAD by our architects and marked with the correct addresses, lot separations and lot and block numbers for each subdivision and then uploaded into our database system. Once the maps are uploaded into 4D they now act as a message board, marking the status of the homes in our system. Place a red dot on the property for sold, green dot for available and a blue dot for not yet built. This helps our new home sales office to maintain the status of all properties more efficiently by providing a visual aid.
Building a database saves money on maintenance by reducing redundant information and improving record keeping. Both the service and accounting departments will be able to utilize this database to keep track of parts purchases and costs. Having all the information in one central database would allow the diverse facilities to use the database. This type of centralization would bring more accuracy in Huffman Trucking's record keeping and would save money, time and manpower.
The first step to development is to survey the property in order to document and draw the bounds and land surface shapes. The property will be represented by various geometry elements such as points, lines, arcs, circles, and other defined geometry shapes. Using a purchased database may not always prove to be fruitful and successful for the salesperson.
Another change I would recommend for Microsoft would be to lose their formalized structure and rely more upon self-control and discipline. This type of structure can be accomplished most effectively by changing the organizational culture and fostering the belief that each individual and their team is the most important component of the organization. By fostering a sense of responsibility and discipline, Microsoft can loosen some its more rigid control structures that currently exist.
The next thing I would like to deal with would be the supply chain inefficiencies. I would like to update our system to ensure we are not creating any unexpected expense because of a poor ordering system. I would like to update our ordering system to being totally electronic and have the ability to ensure we have correct on hands to we do continuously order the same products resulting in unnecessary expenses. Finally with the update on our ordering system it will help ensure that we are rotating our merchandise properly to ensure we do not have any expired or defective products. In the Orlando office we have three main databases. We have a Microsoft Access Database, a Visual Source Safe database, and a Microsoft SQL server database with a custom web client front end. The Microsoft Access database is fairly simple. We use this data base to keep track of the computer hardware and software configurations that are used when doing quality assurance testing and problem replication and troubleshooting of the software product. For any one product we can have up to twenty or thirty different configurations. Initially keeping track of the configurations along with the machine name and IP address was done on paper with a grid like matrix. After a short period of time, this became extremely time consuming and impractical. A simple database was set up in Access and then the database was shared to allow each user to be able to find out what configuration each computer was in for that day or that week so that the proper tests and or bug reporting could be conducted. The database allows the users to search by software version, platform type, operating system, machine name, IP address, memory size, and several other items that are not as significant. Before the database was created the engineer would have to leave their desk find the chart and to a cross reference using the matrix that was drawn up, and hopefully that matrix was kept up to date. Now as the technicians update or change the machine configurations they can enter that information immediately into the database and it will automatically provide a matrix view or a tabular view for any engineer who needs it.
