PRESERVATION AND CONSERVATION OF THE ARCHIVAL MATERIALS
Abstracts: The aim of the study is how to make preservation and conservation of archival materials in the archives. Preservation and conversion in archives particularly preserves and conserve record, national heritage, manuscripts, microfilm and many more that relate to the archive. Besides that, by preserve and conserve, the archive materials will stay longer and to make as a reference in future. It is also want to organize the important records that have value to preserve, protect and also conserve the records that are available in Archives. Archives are a collection of historical documents or records providing information about a place, institution, or group of people that means as an institution or organization that are responsible to appraisal, acquisition, and manage the records professionally. Besides that, archives are the record that worthy of permanent retention because of their enduring value as evidence or for research. They provide a reliable and authentic knowledge base of enabling the past to be reconstructed and understood. There are two types of archives for example public archives and private archives. Besides that, in the archives, they must have a staff or archivist that can preserved and conserve the historical records or important records that have value. Records are very important for the future because it new generations can know what have happen in the past. This records also as a evidence for archive in order to save the country from enemies because we do not know what will happen in the future. Archive also should identify and organized the important of the records that must have to be keeping and preserve from any damage such as flood, or anything that will be happen. To identify the specific type, functions and time period of the artifacts, various archaeology books, reports, and journal were referred. The interpretation was then conducted by dividing the artifacts into different area on the map and investigating their relationships.
To collect is to bring things together. However there is an art to collecting, as it is not simply just bringing miscellaneous things together. There is a common theme for the objects and together they serve as a special meaning to their collector. For years on end, countries have been fighting with big museums from other countries for ancient artifacts that belong to the original countries. The argument of whether or not the museums should be able to keep them still remains. It is the right of the country to have their own artifacts. It is imperative for countries to be able showcase their historical artifacts, therefor museums should return them to their rightful owners.

- It is important to remind people of history because it teaches them about previous happenings. It shows that for every action there is a consecuence, therefore every action or decision you make will have an effect that will impact your life and the life of the people around you. Items displayed in museums hold historical significance and are representative of society’s culture. Preserving valuable collections for education and enjoyment is a primary role of museums. While fulfilling this role, the architecture of the museum is also an important factor. Historical buildings are converted into museums and architects must consider the use of the space and the museum’s purpose during their initial design. Other museums are built with a clear purpose in mind. As museums are designed, many characteristics are determined. Becoming a historian requires a lot of different skills and first starts with becoming familiar with the work place. Such as one, must receive the proper funds to keep a historical building alive by grant writing and educating the community by using good public speaking skills. Also, I must sharpen your researching skills to set up displays, and proper training before starting the archive process.

According to the Sinhala language,”Sanskruthika Urumayan” word reflects the translated form of the English word cultural heritage. The word “Sanskruthiya” means culture and “Urumayan” means both tangible and intangible remaining forms from the past to the present. Considering the legislation definition I have chosen to define cultural heritage according to laws of Sri Lanka, it is important to see the period of its origin. When planning to implement a document management system, there are many factors to consider. First you have to consider how you want to store your documents, be it electronic, paper format, or both; you have to have adequate storage space. Next you have to decide whether you are going to attempt to archive old documents your organization has in storage. A major factor in determining the format you are going to save your documents in is to decide the length of time you wish to keep you documents and the amount of space you have in which to keep your documents. If you are going to keep your documents in a paper format you have to keep in mind the amount of space it will take to store them. Another consideration when determining storage of your organizations documents is how you want to organize your documents be it chronologically or subject based, you need to decide what works best for your organization. And lastly you have to decide how you are going to take those old documents, created before computers, and turn them in to a format which can be stored electronically. There are many different formats which can be beneficial when keeping an archive of documents. There are many reasons why documents need to be managed. First and foremost they serve as a historical log of where your organization came from and they will help shape where your organization can go in the future. Documents can be a reference of how past projects were worked and offer practical solutions for issues which come up in all projects. Keeping documents can be beneficial for every organization, from keeping records to showing where the organization can go, documents play a part in the every day workings of every organization.
