1. Terms of reference

1.1. To recommend two courses or workshops for the administrative assistant in the administration department as requested by Mrs Mavis Kim, Office Manager.

2. Procedure

2.1. The administration department within the company was divided into two to conduct two different procedures. On 25 June 2015, interviews were conducted with ten of the administrative assistants to allow them to convey their thoughts on what courses or workshops that would be beneficial to them.

2.2. Questionnaires were also issued out to ten other administrative assistants to seek their opinions on the same day.

3. Findings

The reason being is that the administrative assistant will be the first point of contact for the clients and customers. In order to take unnecessary pressure off of the Management Department, the assistant will answer and screen phone calls, greet visitors and assist clients with their questions or concerns so that the executives can run business without being disturbed. It is definitely not an easy task as many clients that are reaching out to an organization might be upset, confused or unhappy. The assistant must be ready to handle all types of situation by listening, understanding them and react appropriately. The assistant must also be able to accurately relay messages and information to others.

ii. Time management
Administrative assistants are usually charged with numerous jobs that require fast execution. Being able to work through the distractions and focusing on priorities throughout the day is crucial for them to ensure that the organization functions smoothly. In addition, the administrative assistants need to be conscientious of business hours and always punctual to work, meetings and other scheduled functions.

Based on the information that have been acquired from the interviews and the questionnaire, there have been common issues that the administrative assistants wants the training programme to cover. The proposed training courses/workshops are necessary as most of them are the top desired qualities that every company are looking out for in an administrative assistant. Usually individuals seeking employment in specialized areas often need additional training pertinent to that field. Although a good deal of routine clerical training is acquired on-the-job, there are specific areas in which formal courses should be pursued. It would benefit both the staff and the organisation as the staff will gain more skills and expertise while the organisation will have over numerous skilled and knowledgeable staff on
