Effective Meeting Planning
Introduction
For this assignment, we are asked to plan a meeting for a project that we have been assigned by our company to be the team leader of. First we will focus on how the other members were selected for the team (i.e. past work history, emotional intelligence, office politics, or ability to work on a team). Then we look at the agenda details for the team’s initial meeting to include such areas as the date, time, and place of the meeting, a brief description of the members’ roles and responsibilities, clarify the intended outcome of the meeting, and set timeline for follow on meetings.
Team Selection To start off let us look at the members that I have selected to make up my team for this project. I have selected four members from within the company, Steve Wilson, Joe Stuart, Jeff Archer, and Colton Smith. Prior to me sending out the notification of the meeting I will have personally met with each team member to inform them of their selection for this project and to prepare them for the upcoming task and have them check their schedule for optimal dates for an initial team meeting. As the team leader I will send out a meeting agenda a few days prior to the meeting and ensure the team members received it so as to be prepared for the meeting. For this first meeting I will schedule it for a date that all the members are able to attend also will look to have it on a Wednesday or Thursday because those days in our company tend to have the fewest meeting schedule. I will plan to have this initial meeting last one hour but have the communications department’s conference room reserved for two hours so we cannot be disturbed but also have a venue if we do run
My team consists of four other people besides myself, Lauren Chojnaki, Alexa-Louise Patnode, and Jacobe Loewen, and Ryan Tyriver. Together, we are tasked with the mission to complete a stakeholder analysis regarding a specific organization and their structure. For this project to be completed successfully, it is important that all team members are able to cooperate with one another and are able to use their different strengths to create the best end product.

Seven tasks must be included in consideration of team dynamics and structure. The first of which is defining the goal, mission or function of a specific team. The team must know what it is being asked to accomplish. The second area of consideration is assessing what skills, abilities, knowledge or potential to acquire such would be needed amongst selected team members. Identification of potential team members should include an assessment of the skills, knowledge and abilities or the potential to acquire such so that ultimately the team has the building blocks with which to succeed in its mission, goal or function. This assessment must include an understanding of realistic potential contributions by potential team members with the included assessment of whether or not the acquisition of skills and knowledge can be made available through research and analysis.
To start off on the right path, the team must understand what they are working towards. They must be committed to work hard in order to accomplish their goals. Each member should have expectations from everyone and themselves as part of the team.
The area of team leadership attracts a lot of attention in the modern world because of the need to assemble and deploy diverse teams for the completion of projects. The future of many corporations relies more and more on the kind of team leadership they have for their projects. This paper explores a number of facets that constitute effective team leadership.
Teams are a major source of companies in these coming years. Teams are Heroes (Collins, 2009-08-27). Everyone wants to be a hero, therefore we need to build, follow, and be effective team members and effective team leaders.
Teams have been around for many years. It is vital for members who are a part of any team to work together so that their labor is not in vain. A major advantage for working cohesively as teams is greater output and interpersonal skills. The drawback of not working in uniformity can lead to project delays and time constraints. Ford’s quote and the concept of teamwork in planning are significantly important and prevalent in contemporary planning practices. The importance of a team in planning is imperative in providing a good plan. The team would also advance through the stages of team development. As a result an effective and cohesive team is achieved and there becomes a common goal is produce the paramount result. However, members within an effective team may come into conflicts with ideas or practices. Likely, these conflicts can be resolved with simple strategies. Involving employees in the planning process help them understand the goals of the organization. Planning is analyzing a situation, determining the goals that will be pursued, and deciding in advance the actions needed to pursue the goals. Building a core team in project management is essential because it encourages shared belief in the importance and the possibility of achieving project goals and objectives. Many times people forget that teamwork is a combination of the words TEAM and WORK. Which means it takes more than a combined group of people or a team, but it takes that and actions. Positivity, effective skills and effort from each group member. A good team member does their share of work in the group. equity and fairness are key in being a good team member also. A few other characteristics that help a group be successful are , positivity, complimenting other members, communication skills and fairness. Many businesses place an emphasis on the importance of teamwork. A good team consists of people with different skills, abilities and characters. A successful team is able to blend these differences together to enable the organisation to achieve its desired objectives.
It is important to have the whole team involved and every team member should about the status of the project and identify there responsibility towards the project success.
