Many of us waste our time on things that are neither important nor necessary, instead of using that time for things that are significant. Time management is not only how to get more out of your time, but really how to become a better person. Time is a very hard thing to manage, because we can neither see it or feel it until it has passed. Before we can manage our time we must know exactly what time is. The dictionary describes it as, the duration of one's life; the hours and days which a person has at his disposal. How we dispose of that time is time management. It's the way we spend our time to organize and execute around our priorities. Remember just because time is intangible doesn't mean that it is not valuable. I want to teach you about the background of time management, the different styles and how to use them, and how it will change your life.
Background
Time management today is not as it was in the past. It has grown with time. Stephen R. Covey places time management into four generations. He feels it has evolved the same way society has. Each generation grows on the one before it. For example, the agriculture revolution was followed by the industrial revolution, which was then followed by the informational revolution. The first wave or generation is basically notes and checklist. Which really only identifies the demands placed on our time and energy. Calendars and appointment books characterize the second generation. This reflects an attempt to look ahead. The third generation is current time management field. It?s the last two generations with the ideas of prioritization, clarifying values, and comparing the worth of activities. It also includes the idea of making a specific plan to accomplish goals and activities that we determined to be of value. Because this all may be too restricting for people they turn to the previous generations to preserve relationships, and spontaneity. And the last generation, which is just beginning to emerge, is a different type of time management. The challenge is not to manage time, but to manage ourselves. Learning how to manage your time and successfully applying it to your life will liberate you. Really, time is the freedom and power we need to better ourselves. Once time management has become a way of life you will find your self-living a more relaxed lifestyle. Your whole life will become less stressful. While some stress is useful, it can help in focusing and increasing efficiency; too much stress creates problems. In fact, 70% of medical visits are stress related. Time management may very well improve you health. It may improve your career by helping you to be able to plan the use of your time so that tasks can be completed in timely manner, and so time is available for planning, thinking, and reflection. It will indubitably better your social life by giving you more time to spend with loved one. Also it will give you more personal time to yourselves. Because we are managing such a precious commodity that is time, the way it effects ourselves is endless and priceless.
There are a lot of actions I could take to improve my time management. I could turn off my phone to remove the possibility of distraction. When family or friends invite me to go somewhere, I should go instead of passing up the opportunity. If there happens to be any free time, that should be used to study or train...not sitting on my phone. Stephen Covey’s fourth generation approach to time management is unique and transformational compared to the first three time management approaches, which remind us to plan for, prepare for, prioritize and control the “things” in our lives. The fourth generation allows a person to “move beyond time management to life leadership…to paradigms that are based on creating quality-of-life results” (31). It puts “people ahead of schedules, compasses ahead of clocks…lead lives of meaning and contribution…live, love and leave a legacy with balance and joy” (73). It provides a “theory and tools that will empower us to use our endowments to fulfill our basic needs and capacities in a balanced, principle centered way” (73), and provides us the “ability to develop and use our own inner compass so that we can act with integrity in the moment of choice” (74). The fourth generation paradigm puts “people first, things second. It’s leadership first, management second. It’s effectiveness first, efficiency second. It’s purpose first, structure second. It’s vision first, method second” (206). In essence, it allows a person to place goals and roles as the controlling element of the system and favors importance over urgency. The fourth generation approach is truly transformational because it allows a person to use the four interdependent endowments (self-awareness, conscience, independent will and creative imagination) to “exercise effective, synergistic interdependence” which will “empower us to take time, energy and human creativity that’s typically wasted in Quadrant I crises and unimportant Quadrant III activities, and combine it in ways that create whole new dimensions of effectiveness” (210).

I often feel I am short of time when I have many things to do at one time point and this is very stressful. With effective time management, I discovered many ways in which I can be successful with the management of my time and able to adjust my schedules and to lower time stress. For example, I took time to check my everyday activity and where do I spend most of my time. By careful evaluation, I realize I spent my time browsing the internet which often focus on some of the unproductive things. I started making my time productive by active focusing on important goals which included fitness, scheduling important work to less important tasks every day and slowly I effectively organized myself.
I write this clear and concise reflection to identify and evaluate an academic problem that I feel is negatively impacting my studies which is time management; otherwise, I find lot of difficulty to manage my time.
In the workplace, time management is an important factor in everyone’s day-to-day work. If a person’s time is well managed, it is possible to achieve a greater amount in a shorter space of time. How effectively people manage their time has a major influence on aspects of their working lives and their personal lives. Effective time management can have a hugely positive effect on a person, it can lead to a focused and disciplined mentality, giving a higher level of productivity, greater efficiency and an all round positive attitude in life. This benefits the individual, their team, the company they work for and also their friends and family. An example of this is an employee who prioritises their jobs at the start of the day; this gives them a structured day and ensures they have time to complete all of the important jobs. However, if time is poorly managed it can lead to inefficiencies, work overload and added pressure, this could eventually lead on to other issues such as stress.
The problem of time management can be said to be universal not only affecting students but also other people in careers. This problem is seen to transition from a person’s life from different cadres of his or her engagement specifically from home, school and at work. It is also a problem that is internal and not external.
In conclusion, good time management doesn't mean you do more work. It means you focus on the tasks that matter and will make a difference. Good time management effectively helps manage stress as this gives control over what is required to be done. Whether it’s on the job or in lifestyle as a whole, learning how to manage your time effectively will help you feel more relaxed, focused and in control. The more in control you are of your time the less stressed up you become.
There are many different parts to time management, such as procrastination, strategy, organization, expectations and being prepared. All of them contribute equally in many ways. All of the things that we have spoken about in this paper are highly recommended. The best thing to do when it comes to time management is to set a strategy, become organized and do your best to avoid procrastination. When you manage your time make sure you include the following; studying, sleeping, eating, relaxing and other necessary things. PMBOK guide defines TM as the “Use of available time and your own productivity along with the appropriate planning and management of the project schedule” highlighting the link between Time Management and productivity and its closely knit relationship to scope and cost areas. Max Wideman presents a wider definition for TM as the “function required to maintain appropriate allocation of time to the overall conduct of the project through the successive stages of its natural life-cycle, by means of the processes of time planning, time estimating, time scheduling, and schedule control.” Ultimately at it’s core however, TM is about time, its planning and control during all stages of the project. A further look into Wideman’s definition of TM by means of identifying its importance throughout the entire project life-cycle (Initiation, planning, execution, controlling and close-out) is required. It is hoped that by analysing how TM tools and techniques can positively and negatively effect the different stages of the Project life cycle a better understanding of productivity, TM and project success will result.
