The Database Management System (DBMS) is software that enables the users to define, create, maintain and control the access to the database. It is a software that interact with the user’s applications programs and it database. Meanwhile, information retrieval system is a system that involved the activity that the systems obtain the information. The obtaining information action need the information from it resources.

The DBMS has a function that can be differentiate from the information retrieval system. The DBMS have the ability to store, update and retrieve the data. This is the main function of the DBMS because the database can be used if there is any record is being stored into the database. The record need to be retrieve first, then it can be change by the database administrator as it will be the record has been updated. The DBMS will protect the structure of the data structure.

Another function of the DBMS is the concurrency control services. Database Management System must ensure that the database is updated correctly because the database can be used by many multiple users. The DMS enable many user to access the data concurrently. The database managements system will help from ay data loss. It have the features which that can support the updates like batch processing, locking, two-phase locking and the time stamping.

The DBMS function is it has recovery services. It means that if the database is damaged, the database management system will recover the records and all the information. The data and the records need to recover and backup so that it will not be permanently lost. The regular backup is needed because the user doesn’t know what will happen to computer and the data may be loss.

Example of the non-structured data is an email and the word processing documents. An email is the message that being distributed into the recipients using an electronic. It is being sent from one computer user to another user. Example of the word processing documents is the Microsoft excel. It is spreadsheets that being produce by the Microsoft for calculating, graphic tools, pivot tables and a macro programming language. This is because the files may have internal structure but it is considered as the non-structured data because the data in the database is still unstructured.
