To collect is to bring things together. However there is an art to collecting, as it is not simply just bringing miscellaneous things together. There is a common theme for the objects and together they serve as a special meaning to their collector. 1.1 Describe Systems and Procedures for Storing and Retrieving Information Collect documents to be filed, sort in to alphabetical, numerical or chronological order, find the relevant file and place the document inside after it’s divider, and return the file to its original place. Confidential files should be kept in a lockable cabinet and old documents should be shredded after the length of time outlined by the organisation. Electronic filing is similar but on the computer. It is important to name files so that they are easily recognisable by everyone who may need to access it. ...ats such as paper based and microfilm. Compare to paper based, it does not change the form of paper even how many years pass. With the proper care of the records, record center or an organization can keep the record almost thirty years until the process of destruction. However, it could not happen to an electronic record, because technologies rapidly change. There always have new software or hardware that will be upgrade and become more advance. Actually, even under the best storage conditions, digital media have a very limited shelf life, generally less than thirty years. The efforts to preserve the physical media thus provide only a short term, partial solution to the general problem of preserving digital information. Given such rates of technological change, even the most fragile media may well survive the continued availability of equipment to read those media.

Of the many crimes that are present in this day and age, one that not only vandalizes the property, but as well as historical background is that of art theft. A crime that has taken away the sanctity of churches as well as many other religious and historical sites. Thefts have ranged from WWII (World War II) to the times of the Holocaust. Of the items that were taken from the churches, relics were items of great priority. These items not only had great value to the churches they were stolen from, but a great value to relic collectors. Most of the items taking during these times were either sold or placed in underground storage. Most of these items that were place in these secret places were never to be seen again. From the times of these so called “relic hunters” to now, art theft has become something that has taken some extreme changes. It has evolved from crime that started with minor relic thefts to something that has become a worldwide crime in need of better prevention.
Typically, conservation involves the maintenance and care of an object to prevent future damage, while restoration on the other hand normally involves repair of damaged and/or decayed pieces of art and an effort to restore each piece to its original form and condition. In actuality, conservation and restoration go hand in hand by way of preservation, and are both critical in the study and appreciation of art for future generations, in spite of all the problems and criticism.
In the world of preservation and library science the common focus is on preserving content, ensuring its longevity, findability, and a stable consistent metadata and technology solution, However we live in an age where everyone is a publisher of some form, and more consistently the content they produce will be in a digital rather than analogue form. Within that content there will always be varying amounts of metadata, some will be populated with an immense detail and granularity, some content will have been created with no human intervention to add additional information to it. In fact much of the digital material produced will have been done so by people who have no concept of metadata, and no inclination to know about it or time to use it. The question raised by Smiths statement highlights many of the issues around data preservation and digital content, with metadata only being a part of those issues, but integral to the ongoing management of the massive influx of digital content being produced.

When planning to implement a document management system, there are many factors to consider. First you have to consider how you want to store your documents, be it electronic, paper format, or both; you have to have adequate storage space. Next you have to decide whether you are going to attempt to archive old documents your organization has in storage. A major factor in determining the format you are going to save your documents in is to decide the length of time you wish to keep you documents and the amount of space you have in which to keep your documents. If you are going to keep your documents in a paper format you have to keep in mind the amount of space it will take to store them. Another consideration when determining storage of your organizations documents is how you want to organize your documents be it chronologically or subject based, you need to decide what works best for your organization. And lastly you have to decide how you are going to take those old documents, created before computers, and turn them in to a format which can be stored electronically. There are many different formats which can be beneficial when keeping an archive of documents. There are many reasons why documents need to be managed. First and foremost they serve as a historical log of where your organization came from and they will help shape where your organization can go in the future. Documents can be a reference of how past projects were worked and offer practical solutions for issues which come up in all projects. Keeping documents can be beneficial for every organization, from keeping records to showing where the organization can go, documents play a part in the every day workings of every organization.
