Responsibility and Accountability:
• The clinic manager will be held accountable to identify problems which may interfere with the practice and develop a plan of action for resolution and will consult with administration and providers when appropriate.
• The clinic manager is responsible for utilizing the policies put in place by administration and use good judgment to establish limits in autonomous decision making.
• Monitor daily clinic productivity and effectiveness and report off to administration as appropriate.
III. Budget and Supplies
• The clinic manager is responsible for being aware of the budget and is expected to utilize it in an effective and economical manner.
• Utilizes the purchasing system appropriately.
• Seeks authorizations from administrations for payment on invoices and purchases according to policy.
• Must be knowledgeable in regard to diagnostic and procedure billing and coding and how it will affect reimbursement.
• Tracks all ordered supplies and materials
• The clinic manager ensures that all staff is appropriately trained on coding polices.
• Reviews and updates forms used within the practice. Standardizes when possible.

Job Duties

• Daily:
Daily cash flow and receipt reconciliation report
Sort Mail and Faxes
Daily management of patient appointment schedules for Juliet and Alvin
Print voicemail messages- assign messages to clinic staff
Manage daily clinic flow
Manage patient wait times/ calculate and track daily average wait times
Calculate and track daily average visit times
Help out in the following areas but not limited to- the front office, with check in, check out, scheduling patients, posting payments, in clinic with triage, labs, phlebotomy, X-ray, drug screens, industrial and DOT exams
Help with messages and refills as needed
• Weekly
Manage timecards for administration approval and send to accounts
Weekly deposit
Weekly supply orders
Assist with employee PTO and weekly schedule management
Upload invoices and bills to Medivoxx for approval of administration
Assist billing with MDO deficiencies, billing errors, &lab code
Having staff input into the system is important for encouraging the team approach. When employees are more proficient and confident, they are better able to carry out their tasks and contribute to the success of the case cart system. Effective training and continual in- services will help make a case cart system successful. Communication between surgery department and sterile processing will also enhance the success of the system. It’s up most important to develop systematic and effective guidelines and to review and revise these guidelines on a regular basis. Job descriptions should be written. Policies and procedures manuals and infection control techniques must be documented and implemented. Procedures must also be developed to allow for changes in OR schedules, for emergencies, and for cancellations.
